All versions of gFM-Business 4.0 have a new interface to online shop systems, with which customers, orders and articles can be transferred from the online shop to the ERP software at the click of a mouse. The import is carried out via modern REST API interfaces and is now available for Shopware 5, Gambio GX3 and WooCommerce online shops. gFM Business free and Basic support the connection to an online shop. In gFM Business Light and Professional, the new online shop interface is multishop-capable and supports the transfer of data from any number of online shops, even in mixed environments. Import customers and orders by mouse click either as an order or as an invoice. Automatically keep your stock levels in all online shops in sync with the stock levels stored in gFM-Business.

Setting up new online shops

To set up a new interface for an online shop in gFM-Business 4.0, navigate to the mask [Settings > Online Shops] in the main menu or in the internal navigation.

gFM-Business 4.0 supports the use of any number of online shops from the following systems:

  • Gambio GX3 (API v2.1.0)
  • Shopware (Shopware 5.x REST API)
  • WooCommerce for WordPress (API v3)

Create a new online shop

To connect an online shop with the gFM Business ERP software, click on the [+] add icon on the right above the list of set up and available online shops. You can switch between different online shops simply by clicking on the corresponding line. In gFM-Business free and Basic you can start directly with the setup of your online shop. Simply select the desired shop type and enter the corresponding server data as described below.

Enter the following data in the Popover dialogue:

  • External system: Unique name of the external system, user-definable
  • Shop type: Selection of the shop system (Gambio GX3, Shopware or WooCommerce)
  • API URL: URL to the RESTful API of your online shop. The URL must contain the domain of your online shop and the extension for the REST API.

    • Shopware: http://www.ihrshop.de/api
    • WooCommerce: http://ihrshop.de/wc-api/v3
  • Consumer key: Login with rights to the RESTful API. You will find information on how to set up such a user, if necessary, in the documentation for your online shop.
  • Consumer-Secret: Password for Login

All data can be taken from the backend of your shop system. Please note that the REST-API must be activated in your online shop. The user specified in the [Consumer Key] field must have read and write access to the REST API of your online store.

After confirming the dialog with the [New] button, a new interface to your online shop is created and all default values for your online shop are automatically entered. If required, you can adjust all values to suit your requirements.

  • Start object: Object name of the transferred JSON file, separately for articles, customers and orders. These values are entered automatically during creation and usually do not have to be changed.
  • End point/parameter: Endpoint and optional parameter to control the interface, separately for items, customers and orders. These values are automatically entered during creation and usually do not have to be changed. will be.

For data import via the online shop interfaces, separate settings can be made for each online shop set up:

  • Import method: Two different import methods are available in gFM-Business for the transfer of customers, orders and article data. With the option [Import Selection] a selection window is displayed before each import, which displays all customers, orders and articles available in the online shop before the import. The user can then select which data records are to be imported into gFM-Business. With the option [Automatically import] all new customers, orders or articles since the last import are imported automatically. Please note that during automatic import, fake, test or spam orders may also be imported.
  • Customer Type: Specify which customer type to assign to the records imported from the online store.
  • Path article images (only for Gambio GX3): Specify here under which path article images are stored. This option is only required for the interface to Gambio-GX3 online shops. By default, the path is: [http://ihr-onlineshop.de/images/product_images/popup_images/]
  • Fixed category: Since not all online shops provide information on categories in their interfaces, you can specify here whether newly imported articles from this online shop should be assigned to a fixed article category.
  • Storage Location: Specify here whether newly imported items from this online shop should be automatically assigned to a storage location. Imported stock from the online shop is then automatically posted to the specified storage location.
  • Inventory:If the option [Inventory] is set to “Add”, the inventory of the item is automatically added to the specified storage location during import and a corresponding entry is created in the inventory log.
  • Document address/delivery address: With these options you can specify which address type newly imported customers should receive from purchase orders with the distinction between the invoice and delivery address.
  • Paid” status: Specify here which status is active for an order if the order has been paid for (e.g. via PayPal). If an order with this status is imported as an invoice, the payment is automatically entered in the invoice during the import.
  • Status “Done”: Enter the status of a completed order here.
  • Stock postings: With the option [Compare warehouse stock], the warehouse stock of the online shop is automatically replaced by the warehouse stock from gFM Business when the item is booked in or out of the billing document.
  • Status: The selected online shop interface can be activated or deactivated here. Only active interfaces can be selected for data import.

Perform connection test

After an online shop has been set up, the [Connection test] function can be used to perform a connection test to the online shop. If the connection is successful, a corresponding message appears on the screen.

Import customers from the online shop

To import customers from the online shop, all the online shops set up are available in the CRM module [Customers] as part of the [Import data] function. Call this function either via the function menu at the bottom left of the screen of the mask or in the menu bar via the [Functions] menu.

Automatic import from the online shop

With the automatic import method, all customers not yet imported are automatically transferred to gFM-Business after selecting the corresponding online shop and clicking the [Import data] button. Once the import has been completed, a dialog box appears on the screen informing you of the number of data records transferred.

If the default import method is import selection (default), a new window appears after selecting the online shop to select all customers to be imported. The new window displays all customers who are in the corresponding online shop.

Import products from the online shop

To import products from the online shop, all the online shops that have been set up are available in the [Article master] module within the [Import data] function. Call up this function either via the function menu at the bottom left of the screen or in the menu bar via the [Functions] menu.

Automatic import from the online shop

Shop orders can thus be transferred to gFM-Business either as an order or as an invoice. Call this function using either the function menu at the bottom left of the screen or in the menu bar via the [Functions] menu.

With the button [Import as invoice] the selected shop orders are imported as invoice into gFM-Business. If the status “Paid” was preset in the settings for this online shop, a payment is automatically entered in the invoice if the status of the order matches the set status “Paid”.

When importing purchase orders fromGambio-GX3-based online shops, any existing article options or article attributes are inserted as text in the article description. Shopware inserts article variants into the article description as text during import.

In the CRM module [Customers], the online shop from which the customer was imported and the corresponding ID are displayed directly in the overview mask under the remarks.

By clicking on the [Refresh] button to the right of the online shop ID, you can either update this data record or all data records called up from the online shop. All data from the online shop and addresses changed by the customer, for example, are transferred to gFM-Business.

The [Invoice] module displays the online shop from which the order was imported and the corresponding ID in the [Orders] and [Invoices] menus under the [Details] tab.

Under the item [Online Shop] the ID of the order and the online shop from which the document was imported are displayed. Below this the order status is displayed, which can be updated with the [Update] button to the right of the field from the online shop. If the status of the order in the online shop is identical with the status “Paid” in the settings during the update, a payment is automatically added to the called invoice.

In the [Article] module, the online shop from which the article was imported and the corresponding ID are displayed under the [Online Shop] tab.

If supported by the interface, meta data of the called article are displayed under the item [Meta data]. Below you will find further product data and article numbers for the Click on the [Update] button to the right of the online shop name to update the article data from the online shop in gFM-Business.

Now available

The new version gFM-Business 4.0 is now available in all versions and can be downloaded. Users of a previous version can upgrade to gFM-Business 4.0 at a reduced upgrade price.
