gFM-Business 5.3 ERP software released with new features

Today we released our gFM-Business ERP software in updated version 5.3. The new version contains some new functions in the modules billing, article master, correspondence and settings and is now more flexible than ever before. For example, delivery addresses can now be assigned from other contacts in all document types in the “Invoice” module. The software has also been enhanced for use in the trades sector. For example, the item quantity can now also be calculated with a formula or an allowance in all document items. In addition, new fields and free fields are available in the items of all document types. These fields have been integrated into the document history and are transferred to the new document when the document is converted. Item discounts can now also be entered as a gross value; in addition to an item discount, a surcharge can now also be entered per item. gFM-Business 5.3 now optionally supports the automatic generation of item numbers with an individual number range. The new version also includes revisions to the iPad user interface and several other improvements and bug fixes. gFM-Business 5.3 is available for download now, the update is free of charge for all registered owners of a 5.x license.

Invoice: Delivery address from further customer

From now on, an additional customer number can be entered for the delivery address in all document types in the billing document, on the basis of which the delivery address can then be selected. When creating a new document from the CRM module Customers, the field Delivery address is automatically filled with the customer number of the document. If the document is converted to another document type, the customer number of the delivery address is copied to the new document.

The customer number for the delivery address can be entered like the document customer number with popover window and full text search. In the info popover to the left of the field, detailed information about the customer of the delivery address can be displayed. In the Address number field, all address numbers for the customer number in the Delivery address field are displayed for selection.

Billing: New functions and fields in line items

In the billing module, additional functions and fields have been added to the line items in all document types. All new functions and fields are located in the line item detail popover that is displayed when you click on the line item price.

Calculate quantity with formula or measurement

The quantity of a document item can now be calculated using a formula or an allowance. If you enter a formula such as “5x5x5” in the Formula/measurement field at the top, the system automatically calculates the value 125 in the Quantity field. The Formula/Outset field is automatically transferred to the next document when the document is converted.

The following new field is available in the tables of all document items (quotation items, order items, delivery note items, invoice items, credit memo items, dunning items and purchase order items):

  • Formula_Overmeasure (Containsformula according to which the number (quantity) of an item is calculated)

New print layouts “Measurement list” for offer and order confirmation

New print layouts for a measurement list are now available in the [Quotation] and [Order Confirmation] modules. The measurement list contains a list with the following fields from the document items:

  • Item (sequential number or own sequential number)
  • Room (new field in gFM-Business 5.3)
  • Description (item description)
  • Remarks (New field in gFM-Business 5.3)
  • Formula/overmeasure (New field in gFM-Business 5.3)
  • Quantity (Number)

An allowance list can only be created if the field “Room” has been maintained in the document items and contains all items in which this field contains a value.

Price surcharge for a document item

In addition to the fields for an item-related discount, gFM-Business 5.3 now also contains corresponding fields for a price surcharge for the document item. The value can be entered in percent, as net value or as gross value. For a better overview, the discount fields are now highlighted in red, the surcharge fields in green. All fields for the price surcharge are automatically transferred to the next document when the document is converted.

The following new fields are available in the tables of all document items (quotation items, order items, delivery note items, invoice items, credit memo items, dunning items and purchase order items):

  • Surcharge_percent (percentage value of the surcharge amount)
  • Overhead_Net (net value of the overhead amount)
  • Surcharge_gross (gross value of the surcharge amount)
  • Price_Individual_Net_Discount_Surcharge (Calculated field, contains net price incl. discount and surcharge)

New field “Room” and new free fields per document item

A new field “Room” and five freely definable fields are now available in all document types. The names for the free fields can be defined under [Settings > Defaults > Fields 2] in theItems” area and are identical for all document types. All user-defined fields are automatically transferred to the next document when the document is converted.

Billing: Document discount as gross amount and language selection

In the billing module, the document discount can now be entered not only as a net price, but also as a gross price. When entering the gross price, the net price is calculated automatically.

In gFM-Business 5.3 the language selection of a document has been improved. If the document language is switched, all article texts of the selected language are entered into the document positions, if available. If no article texts are available in the selected language, the text of the item is retained.

Correspondence: Customer selection with search function

As in the billing module, the correspondence module now also contains the new customer selection popover with search function. Clicking on the customer number in the called document opens a popover window in which the customer can be searched for and selected.

Optional automatic assignment of article numbers

From now on, an automatic entry via an own number range can be activated in the field “Article number” in the article management. The corresponding number range can be defined under [Settings > Preferences > Invoice] in the popover [ Number ranges].

As with all number ranges, an individual prefix, the difference to be counted and the number of digits with leading zeros can be specified for the automatic article number range. If the fields for the article number range are left empty, the article number is not automatically assigned, the function is then inactive.

Customer selection with search function in gFM-Business free/Basic

The updated version 5.3 of gFM-Business free and Basic now also contains the comfortable customer selection with search function in all document types of the billing module as well as in the correspondence module.

iPad user interface updated and optimized

In gFM-Business 5.3, the iPad layouts have been revised in some modules and new functions have also been integrated on the iPad layouts. The following iPad layouts have been revised in the current version:

  • Article master: Transfer all functions from the desktop mask to the iPad mask
  • Billing: Display error in dialog popovers “New item” fixed, new fields [purchase price], [revenue ] and [margin ] added
  • Invoice: Customer selection in popover window with search in all document types added
  • Invoice: Added another customer as delivery address in all document types, optimized selection of address numbers

Improvements and bug fixes

  • In the settings, an error in the function “Transfer GUI to user” was fixed in the module [User > Main menu].
  • In the billing module [Orders], an error was corrected where the display of the item description in the item dialog was not updated.
  • In the print layout “Letter layout” and “Fax layout” all texts have been changed to clients.
  • The table “Print file” now contains a field “_fk_Language_ID” which contains the language of the saved printout.
