7.4 Print layouts
All print layouts used in gFM-Business can be found in the file gFM_Print_layouts.fmp12. If you want to create a new print layout, you can, for example, duplicate an existing print layout and adapt it to your requirements. You can find out how to create new print layouts and which options you can use in Appendix A. All print layouts are stored in gFM-Business under Settings > Print layouts each assigned to a program section, e.g. "Customers", "Articles" or "Billing".
A new print layout is only displayed in the print dialog once it has been assigned to the corresponding program section. Further settings can be made in the process:
- Layout name - Name of the layout in the [gFM_Printlayouts] file
- Paper size - the paper format of the corresponding layout
- Module - Assignment of which program part the layout belongs to
- Table (TOC) - Assignment of the master table for the specified layout
- Function(optional) - Assignment of a function to be executed during printing
- Layout type - Document or list
- Archiving path - Path where PDF documents of this document should be saved. The path can be specified separately for Windows and Mac OS X or macOS.
7.4.1 Setting the archiving path
For each print layout, you can specify the file path to be automatically saved as a PDF file when printing. For an individual print layout, the path can be specified using the context-sensitive function [Set archiving path] must be specified.
To specify the paths for all standard layouts in one step, the main function [Set all paths] can be used. After a query, a dialog appears for selecting the main directory in which all other directories ("Quotations", "Order confirmations", etc.) are located. After selecting the main directory, the paths of all standard documents for the active operating system are automatically entered.
7.4.2 Defining templates for e-mail cover letters
In gFM-Business, all print layouts can be provided with default texts for sending documents by e-mail. As soon as any document is sent by e-mail via the print dialog, gFM Business automatically inserts the texts specified for the print layout in the subject and the e-mail text. The templates can be stored centrally for all print layouts under [Settings > Print layouts > Details] can be specified. Separate storage paths for Mac OS X and Windows can also be specified here for each print layout.
7.4.3 Defining placeholders for e-mail cover letters
For sending documents by e-mail, gFM-Business 2.4 contains a management of placeholders that can be used separately for each print layout in the e-mail cover letter. In the new mask under [Settings > Print layouts > E-mail placeholders] any number of placeholders can be managed.
With the button [+] at the top right of the placeholder list, the user can add new placeholders. The following information must be entered for each placeholder:
- Table origin - Data table that is displayed in the print layout under [TOC] has been assigned. The table origin can also be found in the "gFM_Print layouts" file in the open print layout under "Layout settings".
- Placeholder - Name of the placeholder, preferably in curly brackets.
- Table - Data table from which the data for the placeholder is to be obtained.
- Field - Name of the field that contains the content for the placeholder.
- Reference key - Key field that can be used to find the desired data record. For example, "_pk_Angebot_ID" for quotations, "_pk_Rechnung_ID" for invoices, etc.
As soon as a placeholder has been entered in this list, it can be used in the templates for the e-mail texts, provided the table origin matches the TOC of the print layout.
